Track every repair from intake to collection, quote labour and parts, and invoice customers, all on one board.
Getting started
Create your workshop
- Sign in. The first time, you are asked to Create workshop with a name, region, and labour rate.
- You become the owner and can invite your team from the Team tab.
- Open Settings to set your labour rate, VAT number, and VAT rate, which flow into every quote.

The job board
The repair lifecycle
Every job moves through six stages across the board: Intake, Diagnosing, Quoted, In progress, Ready, and Collected. Open a job and use the stage buttons at the top of its detail to move it along.
Finding jobs
Use the board search to match by customer, vessel, or job title. The footer shows how many jobs are open versus total. High-priority jobs carry a red Priority tag and float to the top.
Creating a job
Booking in a repair
- Click New job.
- Enter the job title, the customer's name, phone, and email (existing customers autocomplete), and the vessel name and class.
- Describe the work, choose who it is Assigned to, and set the priority to Normal or Priority.
- Add the labour hours and any parts (see below), then click Create job.
Adding parts
Search the Chandlery catalogue from inside the job to add a part with its price, or use Add part line to enter a name, quantity, and unit price by hand.
Quoting & invoicing
How the quote is built
The quote updates live as you edit a job. Labour is your hours multiplied by the shop rate from Settings, parts are the sum of each line, and VAT is applied if you have set a rate. The job detail shows the labour, parts, any VAT, and the quote total.
Invoicing the customer
- Save the job, then click Invoice customer in its detail.
- Workshop raises an invoice through the shared FleetFixer Ledger, with the labour and each part as line items and your VAT rate applied.
- When the customer has paid, a manager clicks Mark paid to record it.
Customers & stock
Customers
The Customers tab is a directory with contact details, vessel, and a count of jobs. Use Add customer to add one, or click a row to edit. A customer's vessel details and history are pulled in when you book their next job.
Stock
The Stock tab lists parts with their SKU, quantity in stock, cost, sell price, and margin, flagging anything below its reorder level. Use Add part to add one. Stock is for planning, it is not auto-decremented when you quote.
Customers and Stock are visible to managers. Technicians work from the job board.
Team & roles
Adding technicians
- Open the Team tab and click Add technician.
- Enter their email (they need a FleetFixer account) and choose Technician or Manager, then click Add to team.
What each role can do
- Owner: the workshop creator, with full access.
- Manager: edit settings, stock, and customers, add or remove staff, and mark invoices paid.
- Technician: view the board, work jobs they are assigned, and see customers and stock read-only.
FAQ
How do I flag an urgent repair?
Set the job's priority to Priority. It shows a red tag on the board and floats to the top.
What happens when a job is collected?
Move it to Collected. It stays on the board for the record but no longer counts as open.
Where do invoices go?
Invoices are raised in the shared FleetFixer Ledger, so they sit alongside invoices from Book and Boatyard. Managers can see the status and mark them paid.
Do technicians have their own job list?
Everyone sees the full board. Assign a job to a technician and their first name appears on the card.
