Everything you need to get set up and make the most of FleetFixer.

Getting Started

First login

  1. Visit your club's FleetFixer URL or go to fleetfixer.io and click Sign in.
  2. Sign in with the email address your club administrator has registered for you.
  3. On your first login you will be prompted to set a password and confirm your display name.
  4. Once signed in you will land on the Dashboard, which shows an overview of your fleet status, pending jobs, and recent activity.

Setting up your club

  1. Navigate to Admin > Club Settings from the sidebar.
  2. Enter your club name, location, and upload a club logo (optional).
  3. Choose your preferred currency and date format.
  4. Save your changes. These settings will appear across all pages and exports.

Adding staff

  1. Go to Admin > Staff.
  2. Click Add Staff Member and enter their name and email address.
  3. Assign a role: Admin, Bosun, or Viewer. Each role controls what the user can see and do.
  4. The new staff member will receive an email invitation to set up their account.

Fleet Management

Adding boats

  1. Open the Inventory tab from the main navigation.
  2. Click New Boat (or press N).
  3. Fill in the boat details: class, sail number, name (optional), and current status.
  4. Upload a photo if you have one. This helps with identification on the water.
  5. Click Save to add the boat to your fleet register.

Importing your fleet

  1. If you have an existing spreadsheet, go to Inventory > Import.
  2. Download the CSV template to see the required column format.
  3. Populate the template with your fleet data and upload it.
  4. Review the preview table and confirm the import. Duplicates will be flagged automatically.

Generating QR codes

  1. Select a boat from the Inventory list and open its detail page.
  2. Click Generate QR Code.
  3. Print the QR code and attach it to the boat (a waterproof sticker works best).
  4. Anyone who scans the QR code will be taken to a mobile-friendly fault reporting form for that specific boat.

Fault Reporting

Reporting faults via QR

  1. Scan the QR code on the boat using any phone camera or QR reader app.
  2. The fault form will open in your browser, pre-filled with the boat's details.
  3. Describe the fault, select a category (rigging, hull, foils, etc.), and choose a severity level.
  4. Optionally attach a photo. Tap Submit to send the report.
  5. No login is required for QR-based reporting, making it easy for all club members to contribute.

Managing pending jobs

  1. Open the Maintenance tab to see all open fault reports.
  2. Use the filter bar to narrow by boat, category, severity, or date range.
  3. Click a job to view full details, add notes, or assign it to a staff member.
  4. Change the status to In Progress when work begins.

Completing jobs

  1. Once the repair is finished, open the job and click Mark as Complete.
  2. Add a completion note describing what was done and any parts used.
  3. The job will move to the completed log and the boat's status will update automatically.

Maintenance Records

Logging completed work

  1. You can log maintenance directly from the Maintenance tab by clicking Log Work.
  2. Select the boat, describe the work carried out, and record the date.
  3. Add any costs (parts, labour) so they appear in your spending reports.
  4. Attach receipts or photos as supporting evidence if needed.

Filtering and exporting

  1. Use the filters at the top of the Maintenance tab to narrow records by boat, date range, category, or staff member.
  2. Click Export (or press X) to download the filtered records as a CSV file.
  3. Exports include all visible columns and are useful for committee reports or insurance documentation.

Analysis

The Dashboard provides a high-level overview of your maintenance activity, including:

  • Total jobs completed this month and year
  • Average time to resolve faults
  • Most common fault categories
  • Cost breakdown by boat class
  • Boats with the highest number of open faults

Parts and Ordering

Requesting parts

  1. When completing or logging a job, click Request Part to flag that a part is needed.
  2. Enter the part name, supplier (if known), estimated cost, and quantity.
  3. The request will appear in the Parts queue for an admin to review.

Approving orders

  1. Admins can view all pending part requests under Parts > Pending.
  2. Review the details, adjust the quantity or supplier if needed, and click Approve.
  3. Rejected requests can include a note explaining why.

Creating bulk orders

  1. Select multiple approved parts from the list using the checkboxes.
  2. Click Create Bulk Order to combine them into a single purchase order.
  3. The order summary can be exported as a PDF to send to your supplier.

Inventory management

  1. Track parts you already have in stock under Parts > Inventory.
  2. Set minimum stock levels to receive alerts when supplies run low.
  3. When a part is used during a job, deduct it from inventory to keep counts accurate.

Admin and Config

Enabling and disabling boats

  1. In Inventory, select a boat and open its detail page.
  2. Toggle the Enabled switch to control whether the boat appears in dropdowns, fault forms, and active fleet counts.
  3. Disabled boats are not deleted. They remain in your records and can be re-enabled at any time.

Managing staff

  1. Go to Admin > Staff to see all registered users.
  2. Edit a staff member's role, deactivate their account, or resend their invitation email.
  3. Deactivated users cannot sign in but their historical activity is preserved.

Setting up categories

  1. Navigate to Admin > Categories.
  2. Add, rename, or reorder the fault and maintenance categories that appear in forms (e.g. rigging, hull, foils, sails, trailer).
  3. Categories help you filter and analyse data more effectively.

Role permissions

FleetFixer uses three roles:

  • Admin - Full access. Can manage staff, approve orders, configure settings, and view all data.
  • Bosun - Can report faults, complete jobs, request parts, and view the fleet. Cannot manage staff or approve orders.
  • Viewer - Read-only access to the dashboard and fleet status. Useful for committee members who need visibility without editing rights.

Keyboard Shortcuts

Press ? at any time inside the app to open the keyboard shortcuts overlay. Here are the main shortcuts:

Shortcuts are disabled when you are typing in an input field or textarea, so they will not interfere with normal text entry.
